Rental Requirements:
All space rentals are subject to availability and approval.
Pricing for full and half day rental of the Watkins House includes 30 minutes before and after the event for set up and take-down. If you require more time, additional fees may apply.
Buildings are not available prior to 8am.
All events must end by 9pm, and clean-up must be complete by10 pm.
The front circle of the Watkins House is a fire lane and is exclusively drop-off only (with the exception of the two handicapped-accessible parking spaces).
In order to reserve the space, a 50% deposit is due at the time of booking. If your event is canceled more than 2 weeks before the event date, you will receive a full refund. If your event is canceled less than 2 weeks before the event, your deposit is non-refundable but can be applied to a future event.

To be sure your technology functions well on the day of your event, if you require the use of the TV and HDMI cable or other technology, please arrange a time with us to test your laptop and presentation ahead of your event.

Policies
The rental agreement includes the use of the space and the equipment listed above. Guests will provide their own decorations, linens, food etc. A vendor referral list is at the end of this document.
Guests are responsible for setting up and breaking down their event. A key code will be provided to grant access to the building. An Arlington Common staff member may be present by request.
Marketing and publicity materials are subject to review and written approval by The Arlington Common before distribution; such approval will not be unreasonably withheld. The Userclient must submit all event promotional materials to The Arlington Common ten business days before the publicity release date. Marketing materials include press releases, public service announcements, advertising, posters, flyers, program copy, postcards, invitations, and electronic media.
The Watkins House has one catering kitchen available for use by approved caterers and organizations. It includes access to refrigeration, stove, oven, microwave, sink, and prep space.
Beer, wine, and liquor are permitted if a proper liquor license is obtained from the Town of Arlington. The renter is responsible for obtaining the liquor license and must provide proof of approval to Common staff prior to the start of their event.
Please use the trash and recycling cans in the kitchen.
No meat may be cooked on the stove top. This is due to the existing ventilation system and the prohibitions provided by the fire department.
Reheating dishes containing previously cooked meat is permitted in the oven.
After your event, please dispose of all trash and recycling in the large trash cans in the garage directly behind the house. The trash cans are located just inside the left hand side garage bay. The door is manual and does not lock.
No signs may be taped to the wall of the premises except with prior permission.
No nails, tacks, pushpins, or other materials may be used on walls.
No animals are allowed inside the building, with the exception of service dogs.
The Common property is bordered by residential properties. We aim to keep our relationship with our neighbors as positive and unobtrusive as possible. We ask that all renters, audience members, and guests are mindful of that fact and ensure that no driveways are blocked, no properties are trespassed upon, and that noise levels outside of the building are kept at a reasonable level. The Common reserves the right to end any event early if valid complaints from the neighbors are received.
Arlington Common Performance Hall
Fees and Policies
Costs and fees are associated with using the Arlington Common facilities. Users are responsible for all fees relevant to their event. All individuals and organizations must pay these costs, regardless of formal or informal ties to the Arlington Common, on the last business day before their event.
For those individuals and/or organizations with access to the facility and service use, fee charges—ranging from no fee to discounted fee, non-profit fee, or full fee—will be charged per the group descriptions. Unless otherwise stated, all individuals and/or organizations will be charged for personnel or technical support based on their needs.
Rental Costs
$450/day
$250/half day
(A half day is considered 4 hours or less)
A security deposit of $200, paid with a separate check, is required.
A heat surcharge of $100/day from October 1st to April 30 is required.
Additional $35 cleaning fee
50% discount for non-profit organizations (excluding heat surcharge, cost to remove and replace screen, and cleaning fee)
AV Rental Equipment Costs:

This policy clearly explains the rules and process for reserving the Arlington Common Performance Hall.

Scheduling Priorities:
All requests must be submitted to the Arlington Common no later than two weeks before an event.
Spaces will not be considered reserved until the “Arlington Common Event Information Form” has been received and a confirmation distributed. Estimated costs for using the facility, services, labor, equipment rental, and other fees shall be sent to the User after the inquiry has been reviewed. Once a confirmation has been issued, a written contract outlining all the details and applicable charges will be sent to the User for approval and signature. A signed contract must be received before an event is held.
Facilities Scheduling, Times, and Events Permitted:
All activities must occur between 8:00 a.m. and 11 pm; this includes load-in and load-out of materials. Unless otherwise arranged, all events must conclude by 11 pm, including clean up, to avoid charges.
Event Specifics & Restrictions
All events must be scheduled following restrictions and within reasonable boundaries of discretion, which include:
Supervision: All events must have an identified person responsible and present at all times (setups, rehearsals, performances, etc.). Access will be denied unless this person(s) is/are present.
Insurance and Indemnification: Users shall indemnify and hold the Arlington Common and its affiliates harmless from any and all claims, suits, losses, damages, and expenses on account of injury to any party in connection with the function or resulting from damage or destruction of any Arlington Common property by guests/attendees of the function on Arlington Common premises.
Liability: The Arlington Common reserves the right to inspect and control all events. Liability for damage to the premises or equipment will be charged accordingly. The Arlington Common cannot assume responsibility for personal property and equipment brought onto the premises or for damage or loss of any articles or merchandise left on the campus.
The Arlington Common does not provide decorations and props.
The Performance Hall entrances and exits are not designed for the passage of set pieces, stage props, or concert equipment (chairs, music stands, instruments, etc.). All set pieces, stage props, or concert equipment (chairs, music stands, instruments, etc.) must be brought in through one of the back doors.

Engineering, Electrical, and Audiovisual special engineering or electrical requirements must be specified at least three weeks before a function. Charges may result based on the labor involved and the power needed.
Audiovisual equipment is available and will be coordinated through the Arlington Common.
Damages: The User is responsible for any damages to Arlington Common facilities, property, equipment, or other items. The Arlington Common will assess replacement or repair costs, and the User is responsible for these costs unless otherwise determined by Arlington Common personnel.
Setups: Any setup should be approved by the Arlington Common. If the setup requires the movement of furniture, it will be the responsibility of the person in charge of the event to see that the lobby is returned to its original configuration. If not, the User will be charged. No setup can block exit doors or access to exit doors.
Facilities Use Policies and Procedures Printed Materials: All references to the facility should read: Performance Hall, Arlington Common, 3938 Route 7A, Arlington, VT 05250
Capacity: The Arlington Common Performance Hall seating capacity is 299. Due to fire codes, all aisles must remain free of obstacles.
Non-Exclusivity: The Arlington Common will make every effort to schedule the facility so that the User will have sole use of contracted areas when it is in occupancy. However, this is not always possible during the entire period of its use of the facility. The Arlington Common has the right to schedule other organizations and events in its buildings and lawn when the User is not scheduled to be in the space so long as this does not interfere with the User’s ability to present its event on the schedule as agreed to in advance by the User and the Arlington Common. The Arlington Common will inform the User of other events scheduled near the User’s event. The scheduling of additional events in the Arlington Common during the unused portion of the User’s period of occupancy will not result in reduced costs.
Food and Beverage
Food and beverages are not allowed in the Arlington Common Performance Hall. Food is anything edible, including candy, gum, snacks, baby food, etc. The Theater Manager will determine special consideration for the cast, crew, event personnel, and organizations using the Hall.
Food and beverages are only permitted in the main lobby of the Performance Hall. The Arlington Common must approve all requests for food or beverages in other areas. Alcoholic beverages are governed by Arlington Common policy and are permitted in The Arlington Common Performance Hall only under specific, controlled circumstances. All food and beverages must be provided by the Arlington Common or approved caterers.
Sound, Visual Equipment, Lighting
Sound and/or lighting will incur additional charges as determined by the Arlington Common.
At no time will the User or User’s representative or staff be permitted to handle or use in any way the Arlington Common Performance Hall’s equipment (including sound, lights, projectors, stage house equipment, props, or other theatrical equipment) without the permission of the Arlington Common. Persons not directly related to the production are not allowed in the backstage areas during rehearsals or performances except with permission from the Arlington Common.
Green Room
There is no Green Room available.
Postings, Marketing, and Advertisements
Flyers, posters, and all other printed materials shall not be posted in the lobby. Exceptions are made for the bulletin boards.
Directional signs may be posted on building driveways and parking lots no more than two days before the first event day. These signs must be free-standing (attaching signs to existing campus signs or trees is prohibited) and removed by the User immediately following the event.
Within the Arlington Common buildings, no sign or banner may be affixed to any surface (including seating, walls, ceilings, artwork, and all painted surfaces) without prior approval.
Marketing
The Arlington Common does not provide press and marketing services or arrange for paid advertising or other marketing for the User’s event.

Credit to the Arlington Common: Unless otherwise negotiated, the User shall provide for the following credit to appear on all advertising and on the title page of its program above the title: “Presented at The Arlington Common Performance Hall by [insert User name].”
User shall refer to the Arlington Common Performance Hall in all materials as The Arlington Common Performance Hall
Website
If the Arlington Common sells tickets to the general public to the User’s event, we will include a listing on our website at no charge to the User.
When the User returns the signed contract, deposit, and Ticket Set-Up Form to the Arlington Common, please include the following:
1. A short, two-sentence description of event;
2. The credit to be used to advertise the event; e.g., “X presents Y [artist] in Concert”
3. An approved image in a low-resolution electronic file (jpeg)
Billing
The estimated payment for most functions is due on the last business day before the event occurs. Only certified funds or cash will be accepted as payment unless otherwise arranged with the Arlington Common. Additional charges, if necessary, will be billed following the event as determined by the Arlington Common.
The cost of any cleaning or repair necessary to the Arlington Common as a result of the User’s event will be charged to the User, and the User hereby agrees to reimburse the Arlington Common.
Sponsorship and Fundraising Activities:
No events with corporate sponsorship and/or fundraising activities may occur without the Arlington Common's prior written consent. As part of the User’s application, the User must declare and describe all sponsorships, receptions, benefit activities, or other fundraising activities that will occur in the Arlington Common Performance Hall, together with the name of any individual or organization that will be the beneficiary of such an event. The Arlington Common may request additional information about such activities before granting approval. The Arlington Common reserves the right to withhold its approval of these activities or restrict the visibility of the sponsorship for any reason.
Age Appropriateness
The Arlington Common Performance Hall is intended for use by school-aged children through adults. Use of the space is not appropriate for children under the age of five. A parent or guardian must accompany children under five for all events.
The User must use the Arlington Common waivers and approved forms for all children's programming.
For all children’s programming, the User must have an additional insurance rider naming the Arlington Common property and buildings.
The User must have at least one additional assistant for all children's programming.
